Be Prepared
The best thing to do before moving offices is to be
prepared. Being prepared entails planning, research,
traveling to the moving sites, and much more. Planning
should begin several months before the move. That way
you can deal with any situation that may arise. By leaving
everything to the last moment, you are sure to be asking
for trouble.
A good idea is to make a floor plan (including measurements)
of your current office and then one of the office you
will move into. It will be easier for you AND the movers
to see where things are and where they are going. It
eliminates confusion and helps to speed up the move.
Using the floor plan, try to group things together according
to where they will be placed in your new office. After
they are grouped together, make some sort of indication
to show where it needs to go. On the actually day of
the move have one person coordinating each of the moving
sites, directing the movers to where things need to
go. If you are moving into an office on the second floor
or higher, make sure there are working elevators and
that everything can fit into them.
Make sure that all employees know what’s going
on. Inform them on all relevant information and any
important changes. Several useful things they can do
include:
- Ask everyone to empty their trash
- Ask them to either move their personal effects themselves,
or to place in a designated area
- Ask them to pack up their own desks. Everything must
go. Remember that all breakable items need to be packed
in paper
- Maybe ask them to create an inventory of all important
files and furniture
Important questions to ask yourself:
- Are all the file cabinets and desks empty?
-Are fragile objects properly packed?
-Is all the technical equipment disconnected and packed
up?
-Are all the boxes labeled?
-Are all the utilities (telephone, heat, electricity,
etc.) hooked up at the new office?
- Does everyone know what needs to be done?
-Is everything clean at the office you are moving out
of?
The main purpose of companies is to make money, and
the longer you spend moving, the less money you make.
